How to Format Your Resume for ATS Systems (2025 Guide)

Why Format Matters More Than You Think

ATS systems do not see your resume the way you do. They strip out all formatting and try to parse plain text. A resume that looks perfect in Word or PDF can become completely unreadable to an ATS if it uses the wrong formatting choices. The most qualified candidate with bad formatting loses to a less qualified candidate with clean formatting.

Use a Single-Column Layout

Two-column resumes look modern and space-efficient to humans but are parsed incorrectly by most ATS systems. The parser reads left to right, line by line — a two-column layout gets mixed up, merging content from different sections. Always use a single column with content running top to bottom.

Avoid These Formatting Elements

  • Tables (your content inside gets skipped or scrambled)
  • Text boxes (invisible to most parsers)
  • Headers and footers (contact info there is often missed)
  • Graphics, icons, or images (completely ignored)
  • Columns created with tab spacing (misaligned when parsed)
  • Fancy fonts (stick to Arial, Calibri, Georgia, or Times New Roman)

Use Standard Section Headers

Label your sections with standard names the ATS recognizes. Use: Professional Summary or Summary, Work Experience or Experience, Education, Skills, Certifications. Avoid creative alternatives — even something like "Career Highlights" instead of "Experience" can cause the section to be misclassified.

File Format: .docx Wins

When given the choice, submit as .docx. It parses most reliably across all ATS platforms. PDF is acceptable if it is a text-based PDF you can copy-paste from — not a scanned image. Never submit as .jpg, .png, or an image-based PDF.

Font Size and Margins

Use 10-12pt font for body text and 14-16pt for your name. Keep margins between 0.5" and 1". Smaller margins are fine for ATS but harder for humans to read. Larger margins waste space. Stick to this range for the best of both worlds.
